In this episode of my Coaching Q&A Series, I’m answering one of the most common questions I get asked: What does it actually look like to do private coaching together?

If you’ve ever wondered what happens after you book a consultation, what the process looks like, and how I support clients beyond our sessions, this episode breaks it all down step by step.

Whether you’re exploring coaching for the first time or ready to invest in yourself, I want you to know exactly what to expect from our first conversation to your final session and beyond.

Listen to the episode here: Coaching Q&A Series: What to Expect in Private Coaching with Dani Tan: From First Call to Lasting Support

Step 1: Get to Know Your Coach

Before any coaching relationship begins, I always encourage potential clients to do their research. That means consuming whatever content you can find such as my podcast, newsletter, LinkedIn workshops, or featured articles.

Understanding how someone thinks, communicates, and approaches growth helps you decide whether they’re the right fit for you.

In fact, I hope anyone considering working with me has already taken time to get familiar with my coaching style and philosophy. That foundation builds trust and alignment before we even meet.

Step 2: Book a Consultation

Once you’ve done your research, the next step is to book a consultation call through my website.

When you schedule your consultation, you’ll complete an intake form that helps me learn more about you, your background, goals, and what you’re hoping to gain from coaching.

After you book, you’ll receive a confirmation email with additional resources, including podcast episodes, featured articles, and previous client stories. I want you to feel informed and confident before we even meet.

Step 3: The Consultation Call

When we meet, my goal is to get to know you—your goals, challenges, and what’s led you to consider coaching.

We’ll talk about what you want to achieve, what kind of support you’re looking for, and where you’d like to grow. From there, I’ll share a personalized coaching plan with three key phases of our work together.

We’ll discuss what each phase looks like, how we’ll measure progress, and what structure makes the most sense, whether that’s meeting two times a month or three times a month.

Step 4: The Coaching Structure

Coaching sessions are 45 minutes long and take place on Zoom. Depending on your package, we’ll meet twice or three times per month.

But support doesn’t stop when the session ends. I work with clients for six months at a time, and during that period, you have ongoing access to me through Slack, a private space where you can send voice notes, updates, documents for review, or quick questions between sessions.

That in-between support keeps momentum strong and helps you stay accountable week to week.

Step 5: Tools and Resources That Support You

In addition to our sessions, every client receives access to tools that make the coaching experience even more effective:

  • AI-Powered Call Replays: After each session, you’ll receive an AI summary, full transcript, and video replay via Grain. These replays are yours forever, so you can revisit insights, assignments, or phrasing anytime.

  • Client Portal: You’ll have lifetime access to a library of self-paced modules, tools, and templates. Videos are under 20 minutes and come with timestamps and AI summaries for easy navigation.

  • Ongoing Strategies: Between sessions, you’ll have clear action steps to keep progressing toward your goals.

These resources are designed to help you implement what we discuss, not just reflect on it.

Step 6: Onboarding and Getting Started

Once you decide to sign on, you’ll receive an onboarding email with everything you need to get started, including your intake form, Slack access, and client portal login.

You’ll also schedule your sessions in advance, so your coaching timeline is fully mapped out.

I offer both pay-in-full and payment plan options. And even though coaching is structured over six months, most clients actually experience seven to eight months of support due to ramp-up and wrap-up periods.

Step 7: Offboarding and Continued Growth

When our coaching cycle wraps up, we don’t just end with a goodbye. I always create a personalized offboarding plan that helps you maintain momentum and stay accountable beyond our time together.

Many clients choose to renew for another round, not because they didn’t meet their goals, but because they’ve grown and want to continue building on that foundation.

Even after coaching ends, I stay in touch. I check in with clients at three months, six months, and one year post-coaching to see how things are going and offer continued support when needed.

What It’s Really Like to Work Together

Private coaching is not just about strategy. It’s about building a partnership. Together, we’ll identify what matters most to you, create a plan that aligns with your goals, and keep you supported every step of the way.

From the first consultation to your final reflection, you’ll have structure, accountability, and tools that help you create lasting transformation, not just short-term progress.

Key Takeaways

  • Research your coach before committing to ensure alignment and trust.

  • The consultation call helps define your goals and map your personalized coaching plan.

  • Coaching includes 1:1 sessions, Slack access, and lifetime resources.

  • AI-powered tools and replays help you revisit insights and track growth.

Dani Tan: Welcome to my coaching Q and a mini series on common questions and misconceptions. Today's question that I'm going to answer is what does it look like to do private coaching together? So I'm going to go ahead and dive into that when it comes to private coaching and working together, working with me. Dani Tan: The first thing I always recommend is to consume whatever content you can consume of mine. So if it's listening to the podcast, if it's, being on my email list and reading emails from me. If it's, you know, watching a workshop that I hosted on LinkedIn live, I would go ahead and consume what content you can, because I think whoever you work with, it's important to get a good sense of who they are, how they think about things, how they approach stuff, how they communicate.

Dani Tan: What's important to them. And I think you can get that good foundational information from anything they have out there. So I have an episode also that's called How to Vet Your Coach. And I think this goes hand in hand is just having that foundational background information on them, is really important before even deciding to work with them. Dani Tan: And I I really, really think it's important for any client that I work with. I hope that they have like research and vet me before meeting with me, because I want you to feel really good about our relationship and to have some kind of trust. built up and some commonality. So that's the first thing I always say. Dani Tan: The next thing I always say is you book a call.

So on my website, you can book a call for a consultation. And what that looks like is you book a call and in the intake form, you put in some information on yourself as well as what it is you're looking to do within coaching. And then when you book the call, we will then get an email from me on that email. Dani Tan: It'll say, thank you for booking a consultation. I'm excited for meeting. And again, I'll share resources for you to kind of deep dive more on me. I'll share the podcast. I'll share some articles or, even some featured emails that I've written. So you can kind of get a good sense of who I am and what it's like to work together before we even get on the call. Dani Tan: Then when we get on the call, I will of course be super excited to see you and meet you.

We're gonna talk about your coaching goals, [00:02:00] so I'm gonna ask you some additional questions. Even though I've read your intake form, I will still want to hear from you and your perspective of what's going on and what really, you know, brought you to coaching and what brought you to book this call and why do you wanna work together and what kind of support you're looking for. Dani Tan: So you'll start to talk about that. Gimme some background, the consultation. On this call and then what I will do is I will, you know, give you essentially a coaching plan of what do I think would be best for us to work together to achieve your goals. So typically I like to do a three prong approach. So I'll give you three different phases of the relationship of working together and what I think it would take for us to be able to achieve what is you want to achieve.

Dani Tan: I'll make sure to have good clarity on all those pieces too. And then I will walk you through, you know, the different ways you can work together with me. So I either work with folks two times a month or three times a month when it comes to meeting. And so I will always break that down for you of what that looks like. Dani Tan: I'll also talk about, what is the structure of our calls? So we have calls for 45 minutes on zoom. [00:03:00] And if it's either the, you know, two times a month or three times a month. You have that support, but I also always say that you have me on retainer. So we worked together for six months. So I always say you have me on retainer. Dani Tan: It's not just for those calls for the six months.

You can message me, voice note me, drop me documents for review, um, between sessions. So I use Slack and Slack. If you haven't heard of it, it's like a form of communication. You can use it on your desktop computer. You can use it on your app. And you can leave voice notes, messages, um, drop in anything to review. Dani Tan: And most clients will use that in between sessions. That way you have accountability. You have continued support and you build your momentum while we work together. And that is the thing that I think is most important. And it really is a game changer for clients who are trying to You know, accelerate and keep that, keep the momentum going. Dani Tan: It's having that support in between sessions.

So that's a big thing to, uh, when you enroll. The other thing is that you have access to all of your call replays. So I use something called grain. It is an AI note taker. So after every single session, you're going to have a playlist and it's a playlist of all of our calls. Dani Tan: So. If you miss something or you wanted to play back something or if you forgot about something, you can always go to your call replays and there is a AI summary with notes, as well as the video to play back, as well as a transcript. So, and you have those for life, so you have those. You have those forever and you can keep them and that way you can always look and see what did we talk about? Dani Tan: What were the challenges?

What were the assignments? What were the takeaways? What was the phrasing in certain things? If you want to like write something down, so you always have those two to reference and you have that forever. The other thing is I have the client portal, so I have created a client portal with different modules. Dani Tan: and videos that will help support you in between sessions too. So this is like self paced or as needed. So if we're working on something specific, I may have videos in the portal that will help back it up. So you have foundational information on it. So I'll assign you maybe like a video to watch. All the [00:05:00] videos are 20 minutes or less. Dani Tan: I really try to keep it tight because I know that we're busy and.

We can get derailed when they're watching something that's too long. So all those videos are nice and sharp and tight videos. And they also have AI summaries as well, as well as recaps and timestamps. You could jump around if you'd like to in the client pro. Dani Tan: There's also different sections for tools. So if there are certain tools that I recommend, you can click those links. If there are certain templates or examples, you can click those links too. So a lot of folks find that helpful and you have lifetime access to the client portal, because I don't want you to ever feel Rush to get it all done in the course of the six months, I want to be able to go back to reference it. Dani Tan: So you have lifetime access to that too, as well.

And then between our sessions, you'll always have, you know, different strategies or tasks to work at and to work on so that we would make sure you're always working towards your goals. And so if you, you know, go through all of this, so you go through our call and you're like, okay. Dani Tan: I'm ready to sign on. What does that look like? So when you sign on, I show you what the checkout portal looks like. You can either [00:06:00] painful or have a payment plan and you decide if you want to do two or three times a month. I give you a recommendation always based off of what your goals are and what you need, but ultimately I will always leave it up to you. Dani Tan: And then what happens is you decide to sign on, you check out, you'll get a An onboarding email in the onboarding email to have an intake form so I can get an idea of what your learning style is highly to be supported.

It'll also give you access to slack so you can start working together. It'll give you access to the client portal and then we'll start booking your sessions and scheduling your session. Dani Tan: So that way they're all mapped out in advance. The thing that I always say is that, even though it's to work together for six months, people usually get anywhere for seven to eight months. and the reason why is because when you start on, typically if you were to book, you have a little bit of runway and leeway from the time that you booked to our first call to get ramped up, to get started, to jump into Slack. Dani Tan: So people love that because they get additional time working together. And then for the after part.

Is you always have me once coaching and so once coaching ends, I will always create an offboarding plan for you or give you an option to renew. I have a lot of clients who end up renewing because even if they've achieved their goals, they want to keep working together on something new and something different. Dani Tan: And once you already know somebody just makes it easier. So I'll always give you the option of a client when coaching ends to either renew or to give you a plan, which I think is super helpful. Um, because I want you to be successful after our time together. I don't want you to feel like it's just, We are done working together and that's it. Dani Tan: And I will always check in on you too.

So for a lot of my folks, after we've finished working together, I will still check in with you after three or six months again at a year. I'll always see, you know, what's been working for you, what hasn't been working post our relationship. So I can make sure to, you know, support you if I can or improve the client experience for, for other folks as well. Dani Tan: So that's a little bit of what it's like to work together. But, if you. Come up with any other questions or having your thoughts when it comes to private coaching. This is typically what the workflow looks like, the experience and what I recommend when it comes to things to consider when it comes to working together. Dani Tan: So, I hope you found this helpful and I will talk to you soon.
